What happens to my deleted mail and other items?

This goes into a deleted items folder. To empty the folder, i.e. permanently delete items, you can right click on the Deleted items folder or shortcut and choose "Empty Deleted Items folder".   
You can also set up outlook to empty the deleted items folder on every logout - to do this select tools, options, other then select "empty deleted items folder upon exiting" click on apply then click on ok. The system will display a warning message on logging out of outlook asking if you are sure you want to delete all deleted items from the folder.

My mail has disappeared

This can sometimes happen when you are dragging emails to another folder. If the mouse is released early the mail will be dropped into another folder. Check all your folders for the mail that you have lost.   
When using webmail, check that the "View" option on the top-right of the toolbar has the "Messages" selection.

Outlook Today not displayed

The mailbox has a home page associated with it which sometimes gets turned off. To turn this back on select the mailbox folder, go to the View menu and choose Show home page.

Personal Folder has disappeared

Click on File, then Open then choose Outlook Data File, then locate the folder on your H drive, the file will have pst as an extension.

Unable to see a contact list in the address book

Right click on the contact folder, then choose properties, then click on the Outlook Address Book tab, then check the box next to "Show this Folder as an E-mail Address Book." If the check box is greyed out then the Outlook Address Book will need to be added to the email account.
To add the Outlook Address Book, from the Tools menu select Email Accounts, click the option "Add a new directory or address book", click Next, click the option "Additional Address Books", click Next, from the list of Additional Address Book Types you should see that Outlook Address Book is already highlighted, click Next, you will now be prompted that "The E-mail Account you have just added will not start until you choose Exit from the File menu, and then restart Microsoft Outlook.", click Ok, click Finish, exit Outlook, login to outlook. If your contacts folder is still not available from the Address Book listing perform the first stage of this fix and click the check box to display the folder.

Copying a Distribution list to another person

Open a new email message and put in the recipients who are to receive the new Distribution list. Click on the Insert menu and select Item. This will give you a list of folders from your Outlook system, choose the Contacts Folder where the list is stored. From here you will get a list of contacts in this folder. Select the one that you want to forward and click OK, this will be attached to the email which you can then send.
  
To extract the distribution list from the email you need to right click on the attachment and choose Copy. Close down the email and go to the contacts folder, click on the Edit menu and select Paste. The contact should now be in the folder.

Filtering Junk and Adult Content Email

We now employ filtering on your incoming mail server to filter out offensive or commercially driven unsolicited mail.
In the case of offensive or clearly commercial unsolicited mail the email is sent back to the sender.
If you are using Outlook 2003 or Outlook Web Access (webmail), an additional level of filtering will take place within your email account; Any mail that looks like it may be spam will be moved to a folder in your account called "Junk E-mail".
While nearly all the email moved to this folder will be junk, some emails sent to you as part of a subscription service may also be moved as they share many of the attributes of unsolicited mail.   
Should you find genuine email from certain senders is being moved to this folder, add the sender to your personal contact list. This will help the junk filter in assessing whether any mail received is legitimate.

Note in all cases that we will only ever send an email back or move it within your account; We will never delete incoming mail.
